Proposal or quote

You choose the kind when you create it:

  • Quote — formal and priced. It can be accepted and turned into an invoice.
  • Proposal — indicative. It has no validity date, and your customer's page says the figures may still change in the formal quote.

When a proposal firms up, choose Promote to quote. It keeps its number and goes back to draft. A quote can't go back to being a proposal.

Create a quote

Set your default currency and add a customer first. Then go to Quotes, choose New quote, and fill in:

  • Customer — required.
  • Valid until — optional, for quotes only.
  • Lines — pick a catalog item or type a free-text item, then set the quantity, the unit price, Tax % (blank uses your default rate) and an optional discount on the line.
  • An optional discount on the whole quote, and an optional deposit, each as a percentage or an amount.
  • Notes and Terms.

Create draft saves it. Quotes are numbered Q-YYYYMM-NNNN, starting again each month.

Send it

  • Send by email emails your customer a link to the quote with its PDF attached, and marks a draft as sent. When they reply, the email comes to you.
  • Generate link makes a private link you can share yourself, or with Share on WhatsApp and Share on Telegram. Rotate token replaces the link; the old one stops working.
  • Download PDF gives you the PDF.
  • Mark as sent records that you sent it some other way.

Your customer's page shows the quote with your branding and lets them download the PDF. They give you their answer directly — the page has no accept button.

Record the answer

When your customer decides, choose Mark accepted, Mark declined or Mark expired. Quotes don't expire on their own.

The quote's page shows when your customer opened the link or downloaded the PDF, and Quotes awaiting follow-up on your dashboard lists sent quotes they haven't looked at for a week.

Turn it into an invoice

On an accepted quote, Convert to invoice creates a draft invoice with the same lines, discounts, deposit, notes and terms, and marks the quote as converted. View invoice → takes you to it. Converting counts toward your plan's monthly invoice limit.
